How it works

Auto deposit tracking

Square generates a unique payment link for each appointment, automatically accounting for your custom deposit amounts (flash vs. custom work) for each booking window. It's sent via the typical appointment acceptance email. When clients pay, Square instantly updates Mind Your Ink to mark their deposit as "paid" - no manual work required.

Smart Deposit Reminders (Optional)

Turn on auto reminders and we'll nudge clients for you. Configure how often reminders are sent (24, 48, 72 hours, or weekly) and set the maximum number per appointment.

Recommended settings:

• Strict 48-hour policy: 24-hour reminders, 2 maximum
• Flexible approach: 48-hour reminders, 3 maximum

Based on our artist data, most clients don't need more than 2 reminders.

*Note: These auto deposit reminders will ONLY work for appointments that have been accepted/created while your Square integration is active. It will not apply to any existing previous appointments and will stop working if you disconnect your Square.

Auto appointment cancellation (Optional)

When reminders are maxed out, the system waits 72 hours then automatically cancels unpaid appointments, sending the client a professional cancellation notice. Your calendar stays current without any effort from you.

Example timeline (48-hour reminders, 3 max):

• Monday: Accept appointment
• Tuesday: 1st reminder sent
• Thursday: 2nd reminder sent
• Saturday: 3rd reminder sent
• Tuesday: Auto-cancellation if still unpaid

*Note: This setting is optional; you can use auto reminder emails and keep auto cancellation turned off.

Security & Reliability

Your payment data stays secure through Square's encrypted systems. Mind Your Ink only receives payment status updates; we never handle sensitive financial information.

2. Follow Square's prompts to grant Mind Your Ink permission for payment links and status updates
3. Configure your reminder and cancellation settings (or leave them off to only use auto-tracking)

A Quick Note on Square

To caveat all of this, we (Sarah and Seth) aren't a huge fan of Square. In fact, you would've found me saying, "I hate Square so much," while we wrote the code for this integration. But it is a widely-used tool at your disposal, and a not-absolutely-horrible-one that provides a reliable payment infrastructure.
